# Training Sessions

Schedule it, track it, credit it.

Run your department's training through CertLocker, and the paperwork takes care of itself: invite your Members, take attendance, and when you conclude the session, CertLocker credits the training to each attendee's Certs and can even issue their completion certificates. Officers and Admins can manage training sessions.

## Open Training Sessions

Tap **Orgs** in the navigation bar, tap your **Org Card**, tap the **Manage Icon** in the top right corner, then tap **Training Sessions**. Your sessions are split into **Upcoming** and **Past**.

## Tap + to Create

Tap the **Floating Action Button (FAB)**, the red circle with a **+** at the bottom right, to open **New Training Session**.

<div><figure><picture><source srcset="https://946479658-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FbOWuzIpL5k2toZeIBVvC%2Fuploads%2Fgit-blob-0e3731df874f94eef43fac6563865ce473aaea04%2Fcertlocker-new-training-session-dark.png?alt=media" media="(prefers-color-scheme: dark)"><img src="https://946479658-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FbOWuzIpL5k2toZeIBVvC%2Fuploads%2Fgit-blob-62b37c18eadee4c7e587ccb9443c5866334a8d98%2Fcertlocker-new-training-session.png?alt=media" alt="New Training Session with Title, Description, Start, Duration, CE units earned, Discipline, and Topics" width="375"></picture><figcaption></figcaption></figure> <figure><picture><source srcset="https://946479658-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FbOWuzIpL5k2toZeIBVvC%2Fuploads%2Fgit-blob-a1fd6baceffc735db2c844871e44856ee5880313%2Fcertlocker-new-training-session-lower-dark.png?alt=media" media="(prefers-color-scheme: dark)"><img src="https://946479658-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FbOWuzIpL5k2toZeIBVvC%2Fuploads%2Fgit-blob-d625f8b1f53295ec0f9887a0e1dafeba98373355%2Fcertlocker-new-training-session-lower.png?alt=media" alt="Further down New Training Session, with Training type, Trainer, Location, and Participating organizations" width="375"></picture><figcaption></figcaption></figure></div>

## Enter Session Details

Fill in the **Title** and **Description**, tap **Start** to pick the date and time, and enter the **Duration (h)** and **CE units earned**. Choose the **Discipline**, **Topics**, and **Training type**, then add the trainer (**Trainer name**, **Trainer email**, and **Trainer credentials**) and where it will be held, under **Location**.

## Invite Other Orgs

Training with a neighboring department? Under **Participating organizations**, tap **Add Organization** and choose the Org. Its Members can then be invited to the session, and its Admins are notified.

## Choose How People Join

Under **Enrollment**, choose **Invite only** if you'll pick the attendees yourself, or **Open to org members** so your Members can register on their own from their **Available** tab.

## Decide Where Credit Goes

Under **Applicable certifications**, tap **Add Certification** and choose a Cert Type this training counts toward. CertLocker will ask **Where does credit apply?**: the entire certification, or a specific Component or Requirement. Add as many as you need. If you skip this, CertLocker matches the session's **Topics** to each attendee's renewal requirements instead.

## Issue Certificates

Turn on **Generate completion certificates**, and every attendee will receive a completion certificate from your Org when the session concludes, carrying your seal and signature (see [Certificate Seal & Signature](/organizations/org-administration/certificate-seal-and-signature.md)).

When everything looks right, tap **Save**, and your session will appear under **Upcoming**.

## Invite Members

Open the session and tap the **Invite Icon** (a person with a **+**) in the top right corner. Choose Members from your Org, or from a participating Org, then tap **Invite**. They'll get an invitation in their Inbox and on their Training screen, where they can register or decline (see [Register for Training](/training/register-for-training.md)).

## Take Attendance

On the session, tap **Roster** in the row of actions below the title (on a narrow screen, it may be under the **Overflow Menu**, the three dots). The Roster lists everyone invited and how they've responded. After the training, tap the **Set attendance** menu (the three dots) beside each person who took part and choose **Mark attended** (or **Mark engaged**). **Back to registered** changes a mark you set by mistake.

<figure><picture><source srcset="https://946479658-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FbOWuzIpL5k2toZeIBVvC%2Fuploads%2Fgit-blob-eb781c1a8651f9f0ecf9685c28995b597d2842f2%2Fcertlocker-training-session-roster-dark.png?alt=media" media="(prefers-color-scheme: dark)"><img src="https://946479658-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FbOWuzIpL5k2toZeIBVvC%2Fuploads%2Fgit-blob-38e6cc72c4496f296a452e8b493a03a055afa495%2Fcertlocker-training-session-roster.png?alt=media" alt="The Roster pane listing invited Members, each with an attendance menu" width="375"></picture><figcaption></figcaption></figure>

{% hint style="info" %}
**Only marked attendees get credit.** When the session concludes, CertLocker records credit and certificates only for people marked attended or engaged. Someone who registered but wasn't marked won't receive them.
{% endhint %}

## Conclude the Session

When attendance is complete, choose **Conclude session** from the same row of actions (or its **Overflow Menu**). CertLocker will ask **Conclude this training?** and explain what happens next. Tap **Conclude training**, and you'll see **Training concluded. Processing attendance.** CertLocker records attendance, credits each attendee's Certs, and issues certificates if you turned them on.

{% hint style="warning" %}
**Double check the roster before you conclude.** Concluding can't be run again, and changing someone back to registered afterward doesn't take back credit or a certificate already issued.
{% endhint %}

If something goes wrong while CertLocker processes attendance, the session shows **Processing failed**. Tap **View processing errors** to see which attendees were affected, and send the details to <support@firecal.app> if you need a hand.

## Export Certificates

After a session with certificates concludes, Admins can tap the **Share Icon** and choose **Export certificates** to download every attendee's certificate in one .zip file.

## Cancel a Session

Admins can cancel a session with **Cancel session**, in the same row of actions. CertLocker asks **Cancel this training?** and explains that canceling notifies the attendees, reverses any attendance and credit, and permanently removes the session. Tap **Cancel training** to confirm, or **Keep session** to keep it.

You'll be routed back to **Training Sessions**, where the session will no longer appear.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.firecal.app/organizations/org-administration/training-sessions.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
